Privacy Policy

Last updated: November 3, 2025

Look, we get it - nobody actually enjoys reading these things. But your privacy matters to us, so we've tried to keep this straightforward and honest about how we handle your info here at Lumareth Bastion.

When you sign up with us, we'll need some basic stuff to get you going. This includes your name, email, phone number, address, and date of birth. We also collect emergency contact info because safety first, right?

For training purposes, we might track your workout data, performance metrics, body measurements, and progress photos (only if you're cool with that). If you're working with our nutrition coaches, we'll keep dietary info and health history relevant to your goals.

Payment details go through secure processors - we don't actually store your full credit card numbers on our end. And yeah, we use cookies on our website to remember your preferences and make things smoother for you.

We use your info to run the gym and provide you with the best training experience possible. That means managing your membership, scheduling sessions with your coach, tracking your progress, and customizing your programs.

We'll send you important stuff about your account, class schedules, facility updates, and billing. If you've opted in, we might also send training tips, nutrition advice, and info about new programs we're rolling out.

Your data helps us improve our services too - we look at trends to figure out what's working and what needs tweaking. But don't worry, we're not selling your info to random companies or spamming you with junk.

Your personal trainer and coaches need access to your info to do their job properly. That's about it for internal sharing - we keep things pretty tight.

We work with a few third-party services like payment processors, email platforms, and scheduling software. These companies only get what they need to provide their services and they're bound by their own privacy policies.

We'll only share your information beyond that if you give us explicit permission, if it's required by law, or if there's a legitimate safety concern. We're not in the business of selling member data - that's just not how we roll.

We take reasonable precautions to protect your data from unauthorized access, alteration, or destruction. Our systems use encryption, secure servers, and regular backups.

Physical records are kept in locked storage at our facility at 1847 West 4th Avenue in Vancouver. Only authorized staff members have access, and we train everyone on proper data handling.

That said, no system is 100% bulletproof. We do our best, but we can't guarantee absolute security. If there's ever a breach that affects your data, we'll let you know ASAP and work with you to minimize any impact.

We'll keep your information as long as you're a member and for seven years after that for legal and accounting purposes. After that, we securely delete or anonymize it.

You've got rights when it comes to your personal info. You can request to see what data we have on you, ask us to correct anything that's wrong, or request deletion (though we might need to keep some stuff for legal reasons).

Want to opt out of marketing emails? Just click the unsubscribe link or let us know. You'll still get important account-related messages though - we need to keep you in the loop about your membership.

If you want to access, update, or delete your information, just reach out to us at info@lumarethbastion.info or call (604) 287-4156. We'll handle your request within 30 days, usually way faster.

Under Canadian privacy laws (PIPEDA), you've got the right to file a complaint with the Privacy Commissioner of Canada if you think we're not handling your data properly.

Our website uses cookies - those little files that help remember your preferences and keep you logged in. We use them to improve your experience and understand how people use our site.

We've got essential cookies that make the site work, analytics cookies that show us what pages people visit, and preference cookies that remember your settings. You can disable cookies in your browser, but some features might not work as smoothly.

We use Google Analytics to see general traffic patterns, but it's anonymized - we're not tracking individual browsing habits or anything creepy like that.

When you're doing intense training like Olympic lifting or athletic performance work, we need to know about any health conditions or injuries that could affect your safety. This info is confidential and only shared with your assigned coaches.

The waivers and health questionnaires you fill out are kept secure and separate from general membership data. Your medical history isn't anybody else's business.

If you're working with our nutrition coaches, dietary information and any health issues related to food are treated with the same level of confidentiality. We're not medical professionals though, so if something's serious, we'll recommend you see a doctor.

Sometimes we take photos or videos at the gym for marketing, social media, or form checks during training. We'll always ask for your consent before using your image publicly.

Progress photos and training videos taken specifically for your coaching are private and won't be shared without your explicit permission. If you crush a PR and we think it'd make great content, we'll ask first.

You can withdraw consent at any time - just let us know and we'll remove your images from our marketing materials. It might take a bit to scrub everything from the internet, but we'll do our best.

We don't knowingly collect information from anyone under 13 without parental consent. For members between 13 and 18, we require a parent or guardian to sign off on membership agreements and privacy policies.

If you're a parent and think your kid has given us information without your consent, reach out and we'll delete it right away.

We might update this privacy policy from time to time as we grow or if laws change. When we do, we'll post the new version here with an updated date at the top.

For major changes that affect how we use your data, we'll send you an email or post a notice at the gym. We're not gonna pull any sneaky stuff - if something significant changes, you'll know about it.

It's worth checking back here occasionally, especially if you're curious about how your information is being handled.

Got questions, concerns, or requests about your privacy and personal data? We're here to help and we'll actually respond (unlike some big corporations).

We'll get back to you within a few business days. If you're at the gym, you can also just grab any staff member and they'll point you in the right direction.

Bottom Line: We collect what we need to run the gym and help you reach your goals. We keep it secure, don't sell it, and respect your rights. If you've got questions or concerns, just ask - we're real people and we care about this stuff.
